We currently have an exciting opportunity in our Human Resources department. This position specifically is located in Norfolk, Virginia. We are looking for a HR Coordinator..

    ESSENTIAL FUNCTIONS AND PURPOSE (Job Description)

 

Support the recruiting, hiring and onboarding process by partnering with Talent Acquisition Specialists, hiring managers, and resource labor providers to recruit and evaluate external and internal candidates, and resource labor candidates to fill open job requisitions. Provide support in the full life-cycle recruiting process including screening, interviewing, hiring and onboarding of highly-qualified personnel.     

  

   POSITION DEMANDS (Education/Training)

                   

 High School Diploma or GED.  Recruiting experience strongly preferred.

 

   POSITION DEMANDS (Required Experience)

 

  • Proven ability to communicate information clearly and effectively, speak professionally (bilingual a plus) and prepare professional written correspondence.
  • Ability to maintain the highly confidential nature of human resources work including salary information, background check results, etc.
  • Working knowledge of Microsoft Office products including Word, Excel, Outlook and PowerPoint.
  • Knowledge of Applicant Tracking Software (ATS) and/or Talent Relationship Management (TRM) systems preferred.
  • Excellent organizational skills, attention to detail, and ability to multi-task.
  • A minimum of 1 - 2 years’ experience in a Human Resources and/or Recruiting environment.
  • Highly motivated and proactive team player who is able to engage with hiring managers, recruiters, resource labor vendors, applicants and others.
  • Ability to work under pressure.
  • Self-starter, with the ability to research solutions and resolve issues.
  • Ability to learn, understand, and respond to internal and external customer needs.
  • Approaches work with a customer service mindset.
  • Must be punctual and reliable.

WORKING RELATIONSHIPS

 

Reports to the Talent Acquisition Manager.  Interacts with all levels of employees, management, resource labor providers and external candidates.  This position has no direct reports.


PRINCIPAL RESPONSIBILITIES

 

  • Successfully builds rapport and establishes credibility with Hiring Managers, Talent Acquisition Specialists, resource labor providers, and candidates.
  • Supports Talent Acquisition Specialists in creating/maintaining internal/external job postings; updating company website & weekly manning reports.
  • Provides support in the recruitment process including running daily security check to confirm candidate eligibility, scheduling in-person and video call interviews, reserving conference rooms, organizing candidate travel.
  • Meets, greets and hosts candidates escorting them to the established interview location; department, shop, conference room, etc.
  • Acts as a point of contact for internal and external candidate inquiries pertaining to application status.
  • Works closely with the third-party vendors to obtain updates on pending background checks and pre-employment drug testing.
  • Assists in the onboarding process, including completing background check adjudications, compiling, auditing and handing off completed new hire paperwork to the Facility Security Officer and the HRIS Lead for data entry.
  • Maintains data integrity of the Applicant Tracking System (ATS) and the Talent Relationship Management (TRM) system including opening/closing job requisitions, dispositioning candidates, processing finance sheets and Return to Employer (RTE) checklists.
  • Audits staffing agencies (resource labor providers), etc. to ensure compliance with contract terms and  conditions.
  • Maintains/upkeeps job description repository ensuring job descriptions are updated and housed in the corresponding department folder.
  • Responsible for set up, announcement and co-facilitating bi-weekly new hire orientation, if required.
  • Assists with preparation of marketing material (flyers for job fairs, swag, etc.) to support the Talent Acquisitions Specialists attendance at job fairs and trade school events.
  • Conducts Dept of Motor Vehicle checks and supports maintenance of the approved driver’s list for NASSCO-Norfolk personnel.
  • Assists in the coordination of other non-recruiting activities as needed to support the HR department/personnel.

  

ACCOUNTABILITY

 

Accountable to the Talent Acquisition  Manager for effectively supporting Hiring Managers with manning needs. Responsible for ensuring that the temporary labor resource needs of all NASSCO-Norfolk are met utilizing authorized providers, ensuring qualified placements, while maintaining the corporate philosophy on the use of temporary labor resources.
