We currently have an exciting opportunity in our Planning department. This position specifically is located in Norfolk, Virginia. We are looking for an Administrative Assistant.

l. ESSENTIAL FUNCTIONS AND PURPOSE (Job Description)

Performs administrative support duties in accordance with established procedures, instructions, and work routines. Performs data input, extraction, analysis, and development in support of departmental functions.

 

ll. POSITION DEMANDS (Education/Training)

Typically has a BA/BS in a related field, or AA/AS plus two (2) years' directly related experience, or six (6) years' directly related experience. Experience in a shipyard environment preferred.

  1. Good reading and writing skills. Excellent verbal communication skills.
  2. Excellent typing, interpersonal and communication skills.
  3. Proficient in Microsoft Office products. Able to develop and present metrics.

  8. Professional appearance, business casual.
  9. Must be punctual and reliable, with a proven attendance record.

IV. WORKING RELATIONSHIPS

Reports to the Department Manager or designated supervisor. Maintains internal contact with all NASSCO departments and executive management and external contact with NASSCO Suppliers and Customers. This position has no direct reports.

 

V. PRINCIPAL RESPONSIBILITIES

  1. Perform general administrative tasks, including but not limited to managing office supplies and equipment, answering multiple phone lines, and overseeing the daily flow of mail, correspondence, and filing needs.
  2. Prepare, analyze, and input data.
  3. Operate business machines such as calculators, copiers and faxes.
  4. Prepare agendas, repots, and presentations, including updating weekly metrics and status reports.
  5. Acts as liaison with other departments.
  6. Able to coordinate the activities of and provide support to committees.
  7. Able to arrange, participate in, and implement as directed conferences and meetings.
  8. Coordinate department schedules, travel, conferences, meetings, and activities.
  9. Observe and support NASSCO health, safety, and environmental policy.
  10. Other responsibilities and duties as assigned.

 

VI. ACCOUNTABILITY

Accountable to Department Manager or designated supervisor for providing accurate and efficient administrative and data control as assigned. Results are related to the quality and timeliness of achieving project goals and ability to develop, implement, and/or adhere to processes that maximize productiveness and throughput.

 

VII. UNIQUE/ADDITIONAL REQUIREMENTS

Regularly required to sit; use hands and fingers, handle or feel objects or controls; and to talk and hear. Must have good eye/hand coordination. Must have physical ability to walk to all yard locations for delivering messages and distribution of correspondence. The noise level in the wort environment is usually moderate.
