SUMMARY
We are seeking a reliable, qualified individual to join NASSCO as a Document Control Specialist. As part of our team, you will oversee the organization, storage, release, and archiving of Engineering records and documentation, observing legal guidelines and best practices. You will administer the data management processes and verify document completeness and format requirements. This position is critical to smooth operations and our ideal candidate has considerable professional experience with impeccable attention to detail and strong computer and data entry skills.
ESSENTIAL FUNCTIONS AND DUTIES
- Prepares documentation for approval and distribution to internal and external customers
- Responsible for maintaining an organized and detailed library of project documentation
- Works with service provider to archive/retrieve documented information stored off-site
- Stores, manages, and tracks records and documents
- Contributes to development of department policies including documentation, storage, and organization policies
- Follows document retention policies, retrieves documents upon request, and archives inactive records
- Provides on-time and on-budget administrative and analytical support related to engineering documentation
- Verifies completeness and accuracy of stored documentation, as well as appropriate file formatting
- Performs periodic archiving and audits to maintain document repository standards
- Facilitates resolution of technical issues internally, as well as with customer and regulatory bodies
- Demonstrate professionalism and broad technical competence

SKILLS AND QUALIFICATIONS
- High school diploma or equivalent required. Associate degree or higher preferred.
- Proficient in general computer and documentation skills, including Microsoft Office applications and FTP.
- Strong communication skills, both verbal and written.
- High attention to detail.
- Ability to interpret a variety of written, oral, or diagrammatic instructions.
- Disciplined ability to independently plan, prioritize, organize, and monitor project tasks with limited oversight.
- Strong sense of internal motivation to transform and modernize broken processes. A “start-up” mentality.
- Ability to work effectively in a group and to actively cultivate a vibrant team environment with a positive attitude.
- Healthy dissatisfaction with the status quo, leading to committed participation in continuous improvement initiatives.
- Work will generally be confined to a clean office environment but may at times require participation in dusty, dirty areas, requiring full adherence to NASSCO’s safety policies.
- Reports to Team Lead.
- Works diligently with Project Engineering to ensure close coordination across the program.
- Will work directly with all project stakeholders, including customers and regulatory bodies.
PHYSICAL DEMANDS
Regularly required to sit; use hands and fingers, handle or feel objects or controls; and to talk and hear. Must have good eye/hand coordination. Must have physical ability to walk to all yard locations for delivering messages and distribution of correspondence. The noise level in the work environment is usually moderate.
ACCOUNTABILITY
Responsible for providing accurate and efficient administrative and data control as assigned. Results are related to the quality and timeliness of achieving project goals and ability to develop, implement, and/or adhere to processes that maximize productiveness and throughput.
Pay Scale: $48,000 - $86,900
This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
