SUMMARY

This position reports to the Vice President Engineering or Engineering Manager.  The Office Manager will provide support to an engineering department of over 300 engineers, designers, and support staff.  May supervise task teams in accomplishment of project work.

 

ESSENTIAL FUNCTIONS AND DUTIES

  • Works with the Engineering management team to identify and mitigate risks, and to resolve building and business issues as they arise.
  • Coordinates pay and finance issues between the management team and finance and human resources to include pay raises and bonus pools.
  • Supports Finance in development and execution of support and resource sharing contracts (cross-business unit)
  • Assists hiring directors and managers with coordination with Human Resources for personnel issues to include hiring, promotions, and separations.
  • Coordinates with subcontract vendors, supply chain, and hiring managers to acquire subcontractor labor as required.
  • Facilitates building management and maintenance as required.  Works directly with the company facilities department and the property manager.
  • Provides administrative support and reporting for timekeeping and time-keeping functions.
  • Act as the POC for immigration and ITAR related requirements.
  • Manages office supplies and ensures requirements are met.
  • Provides leadership in developing and managing division overhead (budgets and spending) and assists the Engineering management team as needed.
  • Oversees indirect spending across the department and facilitates the development of requisitions for direct spending.
  • Actively participates in implementing and monitoring continuous improvement initiatives to improve safety, improve quality, reduce cycle time, and reduce costs.
  • Assumes added responsibilities when required.

 

SKILLS AND QUALIFICATIONS

  • BS/BA degree in Engineering or Business-related field preferred
  • Five (5) years experience in relevant field.
  • Must be a self-starter and have exceptional attention to detail.
  • Strong organizational and time management skills, and ability to prioritize.
  • Must have strong problem-solving and interpersonal skills.
  • Proficient with Microsoft Office Suite or related software.
  • Work will generally be confined to a clean office environment, but will at times require participation in dusty, dirty areas.
