SUMMARY

Timely processing of vendor invoices and special projects. Reports to the Workers’ Compensation Manager. Maintains direct internal contacts with Risk Management, Cash Management, Supply Chain Management and external contacts with suppliers.

 

ESSENTIAL FUNCTIONS AND DUTIES

 

  • Process manual vendor payments (and other payments) accurately and on time, ensuring all necessary approvals and documentation are in place.
  • Review, track, and verify vendor agreements and W-9 forms to ensure compliance and completeness.
  • Prepare and work on ad hoc reports and projects as requested by management or other departments, providing administrative or analytical support as needed.
  • Support quarterly and year-end report processing and assist in compiling necessary data for compliance and audit purposes.
  • Help manage and support data entry and processing tasks, ensuring information is up-to-date and error-free.
  • Organize and maintain folders, forms, and records both digitally and in physical format, following established filing systems as directed by management.
  • Collaborate with internal teams and other departments to gather and validate information related to payments, vendor records, and assigned projects.
  • Ensure data integrity, confidentiality, and adherence to company policies throughout all tasks.
  • Responsible for maintaining NASSCO risk management program coordinating with NASSCO’s Risk Management to support casualty and property insurance renewal processes.
  • Other responsibilities and duties as assigned.

 

SKILLS AND QUALIFICATIONS

  • High school diploma or equivalent, with experience in an Accounts Payable or Finance environment.
  • Knowledge of the Accounts Payable system.  
  • Computer literate with data input accuracy.
  • Good communications skills and a team player
  • Strong attention to detail and excellent organizational skills
  • Familiarity with vendor management, W-9 forms, and basic accounting principles preferred
  • Proficient in Microsoft Excel, Word, and other office tools
  • Ability to prioritize multiple tasks and meet deadlines
  • Good communication skills and a proactive, problem-solving mindset
  • Actively participates in implementing and monitoring continuous improvement initiatives to improve safety, improve quality, reduce cycle time and reduce costs.

 

PHYSICAL DEMANDS

 

Specific vision abilities required by this job include close, distance, and peripheral vision, depth perception, and the ability to adjust focus. The employee is regularly required to sit, use hands to fingers, handle or feel objects, controls, and to talk and hear. Must be physically able to walk to all yard locations. The noise level in this environment is usually moderate.  Observe and support GD NASSCO health, safety and environmental policy.

 

ACCOUNTABILITY

 

Responsible for accurate and timely processing of supplier invoices, taking discounts when offered.

 

PAY SCALE

$57,000 - $82,000

 

This pay range is a reasonable estimate of the salary range for this role. It takes into account the wide range of factors considered in making compensation decisions; including but not limited to skill sets, experience, training, and education.
